RECEPTIONIST/SECRETARY

 

I.        INTRODUCTION: 

                                   

Under the supervision of the Executive Director, or his designee, performs receptionist duties in the main reception area of the agency administrative office.  Maintains and provides a wide variety of agency information with a professional, friendly, helpful and caring attitude in carrying out administrative and program responsibilities. 

 

II.            DUTIES: 

 

1.      Answers all incoming calls and routes to appropriate person.

2.      Utilizes agency operation knowledge to direct inquiries to appropriate departments; Maintains and updates the agency administration building extension list.

3.      Greets visitors.

4.      Picks up office mail and distributes to appropriate departments.

5.      Assists with agency outgoing mail and other related functions.

6.      Types documents, reports and other business related documents with accurate business grammar, spelling and punctuation.

7.      Monitors agency website and routes inquires to appropriate person.

8.      Coordinates machine repairs.

9.      Makes referrals to appropriate offices.

10.  Maintains EA files and customer sign-in logs.

 

III.            QUALIFICATIONS:

1.      High school diploma, 1-2 years of customer service experience.  Proper English usage, grammar, spelling, vocabulary, punctuation and generally accepted office practices.

2.      Ability to learn and apply knowledge of locations, functions, and personnel of all agency programs and departments.

3.      Ability to type 50-60 correct words per minute on typewriter or computer.

4.      Relevant computer experience.

5.      Experience with office practices, procedures and equipment.

6.      Experience working with low-income consumers.

7.      Ability to obtain and accurately record information and documentation.

8.      Ability to establish and maintain effective working relationship with employees, other agencies and the public as needed.

 

IV.            SALARY - $23,151
